How to Prepare for the Officer – Monitoring & Evaluation Position at SAINT‑Bangladesh

1. Understand the Organization and the Project
- Study SAINT‑Bangladesh’s mission, recent programmes and its work in Barishal, especially the coastal districts of Barguna and Pirojpur.
- Review the donor‑funded health‑nutrition project description: focus on maternal, newborn and child health, nutrition, family‑planning services and digital health solutions.
- Familiarise yourself with the key partners mentioned (Ministries of Health and Nutrition, DGFP, DGHS, DNCC, UNCC, private sector, other NGOs).

2. Match Your Experience to the Required Profile
- Verify you have at least 5 years of M&E or MIS experience, preferably on USAID‑funded projects.
- Confirm experience with government health MIS platforms (DHIS2, e‑MIS, LMIS) and with mobile data collection tools (ODK, KOBO, ONA).
- Highlight any work that involved data quality assessments, triangulation of data sources, and use of data for decision‑making at district or upazila level.
- If you have managed databases, designed templates, performed cleaning and logical checks, be ready to give concrete examples.

3. Gather the Required Documentation (hard‑copy)
- Updated CV (no more than two pages).
- Tailored cover letter addressing each of the main responsibilities (implementation of MEL, reporting, capacity building, DQA).
- Copies of all academic certificates (MSS or related master’s degree).
- National ID copy, passport‑size photo, and a valid motorcycle driving licence.
- Certificates for relevant trainings (DHIS2, SPSS, ODK/KOBO, gender equity, child safeguarding, PSEA).
- Any letters of recommendation or performance appraisal that attest to your M&E competence.

4. Prepare a Strong Application Package
- Place all documents inside a sealed envelope.
- Write on the outside of the envelope: “Application – Officer – Monitoring & Evaluation – SAINT‑Bangladesh”.
- Ensure the envelope is addressed to: HR & Admin, SAINT‑Bangladesh, Ohi Bhabon, C & B Road, Barishal‑8200.
- Submit the envelope in person before 5:00 PM on 09 December 2025.

5. Technical Preparation – Tools and Software
- Refresh your skills in MS Excel (pivot tables, macros), MS Access, SPSS or Stata for quantitative analysis.
- Practice building dashboards or visualisations that could be used for monthly/quarterly reports.
- Review the data collection workflow in ODK/KOBO: form design, offline data capture, data export, and basic cleaning.
- If possible, set up a demo DHIS2 instance or explore the public DHIS2 dashboards of Bangladesh to understand indicator structures.

6. Core Knowledge Areas to Review
- Monitoring Frameworks: logical frameworks, results‑based management, indicator definitions for health‑nutrition programmes.
- Data Quality Assessment (DQA) methodology: completeness, timeliness, accuracy, consistency, and verification procedures.
- Participatory monitoring approaches and community‑driven data collection.
- Gender, Equity and Diversity Inclusion (GEDI) concepts and how they are integrated into M&E systems.
- Child safeguarding and PSEA policies – be prepared to discuss your understanding and any past compliance experience.

7. Interview Readiness (if shortlisted)
- Prepare concise stories (STAR format) for each of the four responsibility clusters:
• MEL system implementation and adaptation.
• Reporting & knowledge management – give an example of a report you produced under tight deadlines.
• Capacity building – describe a training you delivered to field staff or government MIS personnel.
• DQA – walk through a recent assessment you led, the findings, corrective actions and follow‑up.
- Be ready to demonstrate familiarity with the local health system in Barguna/Pirojpur: key health facilities, Nutrition Coordination Committees, Family Planning offices, etc.
- Anticipate questions on working in disaster or emergency settings and your willingness to travel frequently to field sites (≈70 % of time).
- Review the organization’s equal‑opportunity stance and child‑safeguarding policies; articulate your personal commitment to “do no harm”.

8. Logistics and Personal Preparation
- Arrange reliable transportation to the Barishal office; a valid motorcycle licence is mandatory.
- Pack appropriate field attire (light, breathable clothing, rain gear) for visits to coastal districts.
- Keep a notebook or tablet ready for rapid note‑taking during site visits or DQA exercises.

9. Final Checklist before Submission

□ Updated CV
□ Tailored cover letter (max 1 page)
□ All academic certificates (original copies)
□ National ID copy
□ Passport‑size photo
□ Valid motorcycle licence copy
□ Training certificates (DHIS2, ODK/KOBO, SPSS, GEDI, Safeguarding)
□ Any additional skill/experience certificates

If everything is in order, seal the envelope, label it correctly and deliver it before the deadline. Good luck!
