PREPARING FOR THE GRANTS MANAGEMENT INTERN POSITION – DANISH REFUGEE COUNCIL (DRC)

1. UNDERSTAND THE ROLE AND ITS CONTEXT
• Read the full job description carefully and highlight the main duties: internal and external reporting, support for grant opening meetings, updating the Grants Monitoring System, assisting with proposal development, maintaining donor tracking tools and any ad‑hoc tasks.
• Note the working location (Cox’s Bazar) and the humanitarian environment (Rohingya response, host‑community projects). Understanding the local context will help you demonstrate relevance in your application and interview.

2. MATCH YOUR PROFILE TO THE REQUIRED SKILLS
• Communication – prepare examples where you have produced clear written reports, briefings or presentations for different audiences.
• Teamwork – think of projects where you coordinated with colleagues from different departments or NGOs.
• Creativity – identify any situation where you introduced a new way of sharing information or simplifying a process.
• Cultural sensitivity – reflect on any experience working with diverse groups, especially in a humanitarian or development setting.
• Flexibility and resilience – recall moments when you adapted to unexpected changes or worked under tight deadlines.

3. RESEARCH DRC IN DEPTH
• Visit the DRC website (www.drc.ngo) and read about their mission, values, core competencies and recent projects in Bangladesh.
• Pay particular attention to the five core competencies listed in the vacancy (striving for excellence, collaborating, taking the lead, communicating, demonstrating integrity). Prepare concrete stories that illustrate each competency.
• Familiarise yourself with the major donors DRC works with (e.g., EU, UN agencies, bilateral donors) and their typical reporting requirements.

4. BUILD RELEVANT KNOWLEDGE
• Grants Management System – if you have no prior exposure, watch tutorial videos on generic grant monitoring tools (e.g., Microsoft SharePoint, Airtable, custom NGOs’ GMS). Understand the basics of entering grant agreements, milestones, budgets and reporting dates.
• Proposal Development – review donor guidelines for common agencies (EU, USAID, UNHCR) to see format, budgeting and narrative expectations. Practice drafting a short concept note (problem statement, objectives, activities, results, budget).
• Donor Tracking – learn how to set up a simple spreadsheet or database to capture donor name, sector, funding window, contact, and alignment with DRC strategic priorities.

5. PREPARE YOUR APPLICATION DOCUMENTS

Curriculum Vitae
– Keep it to four pages maximum.
– Use a clear chronological format: personal details, professional summary (2‑3 lines highlighting grant‑related experience), education, work experience, skills and languages.
– Under each role, list achievements with measurable results (e.g., “Prepared monthly financial and narrative reports for two USAID grants, meeting 100 % on‑time submission rate”).
– Add a section on technical skills: Microsoft Office, data‑entry software, basic budgeting, any exposure to GMS, and language proficiency (English and Bengali).

Cover Letter
– Address it to the hiring manager (or “Dear Recruitment Team”).
– First paragraph: state the position you are applying for, where you found the posting and a concise statement of why you are interested in DRC’s work in Cox’s Bazar.
– Second paragraph: match three to four key responsibilities from the job description with your experience. Use specific examples and quantify where possible.
– Third paragraph: demonstrate alignment with DRC’s core competencies; pick two competencies and give brief anecdotes.
– Fourth paragraph: mention your language skills, willingness to relocate, and readiness to comply with safety procedures.
– Closing: thank the reader and express enthusiasm for an interview.

References
– Prepare a separate reference sheet with three contacts: current supervisor, HR representative, and a former manager. Include name, title, organization, phone and email.

6. REVIEW THE APPLICATION PROCEDURE
• Apply through the provided link – do not send an email.
• Double‑check that all required fields are completed on the online portal and that you have uploaded the CV, cover letter and reference sheet in PDF format.
• Verify the deadline (18 December 2025) and submit at least two days before to avoid technical issues.

7. INTERVIEW PREPARATION

Research questions to anticipate
– How have you ensured the quality and timeliness of donor reports in previous roles?
– Can you describe a time you coordinated a grant opening meeting or similar multi‑stakeholder event?
– What steps would you take to compile inputs for a proposal from various program staff and partners?
– How do you stay organized when managing multiple grants and reporting deadlines?
– Give an example of how you dealt with a challenging or unexpected situation in a humanitarian context.

Behavioural (competency‑based) preparation
– Use the STAR technique (Situation, Task, Action, Result) to structure answers.
– Prepare at least one story for each of the five DRC core competencies.

Practical demonstration
– Be ready to discuss how you would set up a donor tracking spreadsheet or outline the sections of a standard grant report.
– If possible, bring a short sample report (redacted) you have produced before, to illustrate writing style and data presentation.

Logistics
– Confirm interview format (virtual or face‑to‑face) and test any required technology in advance.
– Dress in business‑professional attire, even for a virtual interview, to convey seriousness.

8. SAFETY AND ETHICS AWARENESS
– Review DRC’s global safety policy and the specific safety briefings for Cox’s Bazar. Be prepared to answer how you would handle safety incidents or near‑misses.
– Re‑read the fraud alert section and be ready to explain that you understand DRC does not ask for money during recruitment.

9. POST‑APPLICATION FOLLOW‑UP
• After submitting, keep a copy of the confirmation email or screen capture of the successful submission.
• If you receive a request for additional information, respond promptly and professionally.
• Within one week of an interview, send a thank‑you email reiterating your interest and highlighting a point discussed during the conversation.

10. CONTINUOUS SELF‑DEVELOPMENT
– Enrol in a short online course on grant management or humanitarian reporting (e.g., Humanitarian Academy, Coursera “Grant Writing for Development”).
– Subscribe to DRC newsletters or humanitarian news outlets to stay updated on the latest trends in displacement response.

By following these steps you will present a well‑structured, evidence‑based application that aligns with DRC’s expectations and demonstrate the competencies needed to succeed as a Grants Management Intern. Good luck!
